How to create a sales order without the need to create a quotation

In this article we will take you through a step by step guide on how to create a sales order without generating a quotation first.

Step 1: Select new sales order

Select the ‘New’ tab at the bottom left of the screen as indicated below

Select ‘New Sales Order’ as indicated above, you will now be directed to the sales screen 

Input the company name within the customer field and also input the status of the order as you will be presented with the following options:

  • Created - Approved
  • Created - Pending
  • Approval
  • Awaiting Credit Check
  • Credit Approved
  • Credit Declined
  • Connetion
  • Invoice
  • Dispatched
  • Part - Dispatched
  • Cancelled
  • Completed
  • Back - Order Awaiting
  • Stock
  • Return to Sales

In this example we will select ‘Credit Approved’ then click on ‘Create Sales Order’ as indicated below.

You will now be presented with the order screen detailed below

Step 2: Select items for your order

Now you will need to select the products you wish to order, please click on the ‘Add Items’ tab as indicated below

You are now able to make your selection from either the products or service list (1), in this example we have selected Apple IPad 16 GB (Wi-Fi &3g) (2)to make your selection click on the product or service you wish to add, the system will automatically create 1 item. 

If you require more than one please amend the quantity section which is highlighted below(3). 

To complete your selection please click on the box at the bottom of the screen labelled ‘Add to Order’(4). 

Step 3: Confirm your order 

You will now see the black pop up box at the top right of your screen which will confirm your selection as shown above.  Once you have made all your selection click on close at the bottom left as highlighted below.

You will now see your selection within the main order screen as shown below.

Step 4: Reserve and allocate your order 

You are now able to reserve the stock item or alternatively you can reserve and allocate as shown below. 

In our example we have selected reserve and allocate.  As the item isn’t currently in stock our order will be pending until the stock item has been booked in. To book in the stock please follow our KBA on ‘How to book in stock’. This will then allow you to book this out for delivery.
