How to produce a copy of a signed quotation. 

In this article we will take you through step by step how to generate a copy of a signed quotation for a client should you need to do this.

Step 1: Locate and select the quotation

There are a number of different methods of locating the quotation, in this example we will make the assumption that you are unaware of the clients reference number.  We will complete the search using the client’s business name.

Enter the companies name into the global search bar and select enter.  You will then be presented with a list of all your clients with the name you have entered in this example we are using Ruby Red.

Once you have identified the client’s account you wish to open.

Simply click on the company name.

Step 2:  Select your quotation

You will now see the client’s information in front of you, select quotes from the top bar as indicated below.

In the image above we have highlighted the quote we are going to open, once you have identified the quotation you wish to open simply click on the quotation number as highlighted above.

Select the signature name at the bottom right of the screen

You will be presented with the quotations signature box, select Signed

Select save then open which will bring the signed quotation onscreen for you

Step 3: Resending, printing or saving your quote

Right click with your mouse on the quotation this will give you the option to either save or print the quotation.

If you wish to save your quote please select the icon to save you will then be presented with the option bar at the bottom of your screen.

 Alternatively if you wish to print the quote you can do so by clicking on the print icon which will load the print screen to the right of your main screen.

You also have the functionality to email this to your client.  Depending on your versions of windows, will determine how you complete this, for older windows versions you will see the screen below, by selecting the envelop icon at the top of the screen as highlighted this will enable you to mail this direct to your client.

If you are using Microsoft Office 2013, you will need to hover at the top left of the screen until you are presented with the task bar you will be able to select the share icon which will bring up the screen shown below, this will enable you to mail the quote to your client.
